Special Events Administrative Coordinator
Full-time position available

This position supports the CFFO Director, Special Projects. S/he will be responsible for a variety of duties and projects, related to conferences, special events and special projects. Includes budget and data base management, coordinating large mailings, light editing, volunteer management, coordinating small meetings, office administration as well as managing the MBA guest lodging program. This position must be self-directed and able to perform under heavy deadline pressures. Schedule flexibility is important, allowing coverage for early a.m., evening and weekend events.

Prepare departmental budget. Create and track outside contractors' contracts. Handle department accounting functions; prepare, track, and distribute department budget reports, purchase orders/disbursements/expense reports and other accounting jobs as assigned. Independently track special events budget. Provide administrative support (including photocopying, faxing, correspondence, mailings, mail distribution and some phone coverage). Order and maintain stock of office supplies, books, references and event and conference supplies as needed. Design and manage databases for meetings and events, including mailing lists, guest lists, and registration functions for conferences and special events.

 

Communications


Web Writer
Full-time position available

The web writer handles the day-to-day writing needs for the Aquarium web site. This position takes a lead role in writing and editing interpretive online content, multimedia scripts and related materials for the Aquarium's web site. The Website Writer will develop interpretive online content, including information about the Aquarium’s animals, exhibits and programs. Her/his responsibilities will include researching, planning, writing, editing, copyediting and proofreading website content. She/he will cooperate with other departments (including Marketing, Membership, Web and Husbandry) to develop website text. The Website Writer will also communicate with the Monterey Bay Aquarium’s key online communities (Facebook, YouTube etc.). Proactively and reactively works with other departments to ensure dynamic and updated content on the site. This includes gathering, writing, editing, and developing assets, as well as managing the schedule and review process. Writes and edits new web modules to improve and enhance current web content. Subject matter varies widely including marketing and promotional copy, multimedia, educational content, science stories, conservation messages, etc. Edits and revises existing content. Functions as a member of the QA and release teams. Converts other MBA content, including print and exhibit-related materials, for the web. Participates in periodic design/interface site reviews. Logs, manages, and responds to guest queries or comments received via email. Learns and implements Search Engine Optimization techniques. Represents the Aquarium in our online communities, promoting the Aquarium and its mission. Explores new online community hosts and tools. Please submit 3-5 samples of your written work along with a cover letter and resume.

Excellent writing, editing, copyediting and proofreading skills.Excellent oral and written communication skills. Minimum 3-5 years of work experience, or equivalent, in scientific writing for a lay audience or copy editing and writing for the web in marketing, science or education.Ability to communicate complex scientific concepts in an accurate, engaging and understandable way for the general public.A BA degree in biology, writing/composition, or equivalent science or science education experience is also required.Proven ability to prioritize, follow through, multi-task, pay attention to details, work within tight deadlines and manage time well.Knowledge of research techniques and a familiarity with marine biology and the biological literature is a plus.Familiarity with website usability best practices and search engine optimization techniques is a plus.Ability to both work independently and to collaborate effectively on multidisciplinary creative teams.

 

Facilities Services


Custodian position ends 3/16/09
Seasonal position available

The Custodian is responsible for keeping assigned areas of the aquarium in clean condition.

Must be able to read and understand English. Candidate must have the ability to communicate with staff and visitors. High School graduate or equivalent. Experience in using custodial supplies and equipment.


Journey Crafts Worker-General Maintenance Mechanic
Full-time position available

The maintenance mechanic is responsible for maintenance and repairs to mechanical equipment and systems. Also performs many routine building maintenance functions. Troubleshoot and repair power operated mechanical equipment and systems. Troubleshoot and repair all types of doors and door hardware. Install new doors, doorframes, hardware, and panic devices. Perform maintenance inspections on motor vehicles. Follow safe work conditions that meet OSHA requirements. Provide customer satisfaction and quality assurance for all work. Coordinate work schedule and progress shop performance in Master Crafts Worker’s absence. Enter work requests and purchase requests on Maintenance Management database. Operate and maintain forklift, scissor lift and articulated boom lift. Provide customer satisfaction and quality assurance for all work. Assist with other shop duties as needed.

Trade school graduate and/or two years experience in facilities maintenance. Professional skills in doors and door hardware maintenance and repair. Working knowledge of power mechanical devices and systems. Good written and oral communication skills. Basic computer skills in Windows environment. Ability to work a flexible schedule that may include: nights, evenings, and weekends.


Journey Crafts Worker - Electrical/Mechanical Maintenance
Full-time position available

This position performs electrical and mechanical maintenance work. Journey Crafts Worker will be required to meet professional standards for commercial electrical and mechanical work. Troubleshoot and repair electrical and mechanical systems. Install electrical and mechanical components as required in construction projects. Perform maintenance inspection of all lighted areas to assure correct lighting function. Perform maintenance inspection of all restroom areas to assure correct function. Provide customer satisfaction and quality assurance for all work. Be responsible for successful shop performance when Master Crafts Worker is away. Enter work requests and purchase requests on Maintenance Management database. Capable of managing large inventory of light bulbs. Assist with other shop duties as needed.

Electrical maintenance certificate or equivalent trade school training preferred. Ability to work a flexible schedule that may include: nights, evenings, and weekends. Basic working knowledge of institutional door systems preferred. Basic Working knowledge of plumbing systems preferred. Basic knowledge of NEC and OSHA requirements. Three years recent maintenance experience in an industrial or institutional environment preferred. Good written and oral communication skills.

 

Finance


Accountant
Full-time position available

The Accountant is responsible for directing the monthly close, performing the fixed assets close, assisting with the annual close, and assisting with preparation and execution of the annual financial audit.  The Accountant is also responsible for reconciling all balance sheet accounts and obtaining or preparing all necessary supporting schedules.  The Accountant coordinates monthly financial reporting with the merchandising operator as it relates to premises rental, commission, reimbursable expenses, special programs and memberships and coordinates monthly financial reporting with Monterey Bay Aquarium Support Services as it relates to rental activities.  The Accountant will also prepare all regulatory filings including the transmittal of 1099 forms to vendors and the IRS.  The Accountant will also provide financial information to other departments as requested, perform other special projects as directed by the Assistant Controller, Senior Manager of Finance, and the CFO, and act as backup support to the Payroll Manager.

Bachelor's degree in Accounting, Economics or Finance preferred. Three years related experience. Work independently and also as part of a team. Possess a strong knowledge of Excel, Word and Microsoft applications. Knowledge of Microsoft Great Plains financial software a plus. Excellent communication and interpersonal skills. Excellent problem solving skills. Possess great attention to detail. Able to multitask, prioritize and work accurately while meeting deadlines. Self-motivated and able to plan daily workload. Ability to prepare and interpret financial data.

 

Guest Experience


Guest Experience Representative
Part-time position available

The Guest Experience Representative is responsible for greeting and assisting all visitors to the aquarium by performing the specific duties of Entrance Host/Hostess, Cashier, or Group Greeter as needed. The Guest Services Representative also assists with line and crowd control and performs the duties of an Auditorium Host/Hostess as scheduled and may be required to learn and perform other duties within the position class as directed by the supervisor.

Must have effective written and oral communication skills; basic counting skills and excellent customer service skills.


Guest Experience Program Specialist
Full-time position available

The Guest Experience Programs Specialist will work with the Managers of Guest Experience Programs and interdivisional team of staff and contractors to deliver and develop visitor programming at a variety of venues throughout and beyond the aquarium. The Guest Experience Programs Specialist will assist in supervision, scheduling, hosting, training, and feedback of regular and seasonal staff, contractors, volunteers, and student guides involved in visitor program delivery.

Present various aquarium visitor programs on weekdays, weekends, and some evenings, including: storytelling, lectures, labs, tours, feeding narrations, and theater pieces as needed. At least half of every day spent in direct contact with aquarium guests or volunteer guides, delivering programming. Serve as primary science advisor on visitor program training materials. Create and update written training materials for presenters and volunteers with varying levels of science background. Assist in the training and continued coaching of volunteers, staff and interns. Provide support for interpretive staff and volunteer guides. Host guest presenters including lecturers, storytellers, and theater professionals, serve as their liaison during their presentations. Work with theater professionals to develop and implement cooperative programs. Promote visitor participation in programs. Assess program effectiveness through a variety of methods including visitor interviews.
